Privacy Policy

Automata Solutions Inc. ("Any2K", "we", "us", or "our") operates Any2K, a content library and delivery service available through our website, mobile apps, browser extensions, private APIs, and related services (together, the "Service"). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use the Service.

For privacy laws that use the terms "controller", "business", or similar concepts, Automata Solutions Inc. is the organization responsible for determining how personal information is processed for the purposes described in this Privacy Policy.

Information We Collect

The information we collect depends on how you use the Service. It may include:

  • Account and contact information. Email address, name if you provide it, account status, plan information, subscription preferences, login codes, authentication tokens, and support communications.
  • Library and delivery information. URLs, saved article metadata and content, newsletters you forward or receive through the Service, RSS feed subscriptions and rules, uploaded files, tags, highlights, notes, reading and delivery settings, Kindle email addresses or other delivery destinations you configure, and related activity.
  • Payment and subscription information. Plan selection, transaction records, subscription identifiers, billing-related metadata, and limited payment information needed to confirm or manage your subscription. We do not store complete payment card numbers.
  • Device, usage, and diagnostic information. IP address, browser and device information, app or extension platform, pages and features used, timestamps, logs, error reports, approximate location inferred from technical data, and similar operational information.
  • Cookies and local storage information. Session, security, preference, analytics, and similar technologies that help us operate, personalize, secure, and improve the Service.

How We Collect Information

We collect information directly from you when you create an account, save content, upload files, configure feeds or deliveries, import highlights, contact support, make a purchase, or use Service features. We also collect information automatically from your device and browser, and we may receive information from payment processors, app stores, analytics providers, email systems, cloud infrastructure providers, and integrations you choose to use.

How We Use Information

We use personal information to:

  • Provide, maintain, secure, and troubleshoot the Service.
  • Save, organize, process, export, and deliver content at your request.
  • Manage accounts, authentication, subscriptions, payments, limits, and billing history.
  • Provide customer support and respond to your requests.
  • Send service messages, product updates, and marketing communications where permitted. You can unsubscribe from optional marketing communications at any time.
  • Analyze usage, diagnose technical issues, prevent abuse, detect security incidents, and improve product quality.
  • Comply with legal, tax, accounting, security, and enforcement obligations.

Your Content

The Service is designed to store and process content you choose to save or deliver. This can include article text, uploaded files, newsletters, RSS feed content, highlights, notes, metadata, and delivery destinations. We process this information so we can make it available in your library, support imports and exports, generate readable formats, deliver content to destinations you configure, and operate related features.

You are responsible for ensuring that the content you save, upload, import, export, or deliver through the Service is lawful and that you have the rights and permissions necessary to use it with the Service. We do not review every item of content, but we may remove content, suspend processing, deny delivery, or restrict accounts when we believe content or activity may violate law, third-party rights, our Terms, or the safety and integrity of the Service.

Automated Features

AI and audio features are optional. If you choose to use them, automated systems and third-party service providers may process content you save with us, including summaries, question-answering, and audio narration. To provide those features, we may process and transmit relevant content, prompts, questions, outputs, metadata, and related technical information to providers acting on our behalf.

Automated outputs may be inaccurate, incomplete, misleading, offensive, unavailable, delayed, or inconsistent. They are provided for convenience only and should not be treated as professional advice or as a complete representation of the underlying content.

We may use logs, prompts, outputs, usage metadata, and operational signals to provide, secure, operate, troubleshoot, audit, evaluate, and improve these features, subject to applicable law and our agreements with service providers.

Cookies and Analytics

We use cookies, local storage, and similar technologies to operate the Service, keep you signed in, remember preferences such as theme or reader settings, store non-sensitive interface choices, understand usage, and improve reliability.

We use analytics providers such as Google Analytics and Amplitude to help us understand how the Service is used and how it performs. These providers may receive usage, device, event, and account-related information in accordance with their own policies and our agreements with them. You can control cookies through your browser settings, and some analytics providers offer their own opt-out tools. If you block cookies or local storage, parts of the Service may not work correctly.

Legal Bases for Processing

Where the GDPR, UK GDPR, LGPD, or similar laws require a legal basis, we process personal information based on one or more of the following:

  • Contract. To provide the Service you request, including account access, library features, deliveries, subscriptions, payments, and support.
  • Legitimate interests. To secure, maintain, troubleshoot, analyze, and improve the Service; prevent abuse; understand usage; communicate with users; and protect our rights and users' rights.
  • Consent. Where we ask for consent, such as for certain optional communications, optional features, or cookies where consent is required.
  • Legal obligations. To comply with tax, accounting, consumer protection, security, law enforcement, and other legal requirements.

How We Share Information

We do not sell your personal information. We share personal information only as needed for the purposes described in this Privacy Policy, including with:

  • Cloud, infrastructure, email, storage, and processing providers. These providers help us host, store, secure, process, deliver, and back up the Service.
  • AI and audio service providers. These providers help operate automated summaries, question-answering, and audio narration features.
  • Analytics providers. Google Analytics, Amplitude, and similar providers help us measure and improve the Service.
  • Payment processors and app stores. Stripe, PayPal, Apple, and Google help process payments, mobile purchases, subscription events, refunds, and billing-related updates.
  • Delivery and communication providers. Providers that help us send email, deliver content, process inbound messages, and communicate with you.
  • Legal, safety, and business recipients. Authorities, advisors, counterparties, or other recipients when required by law, to protect rights and safety, to enforce our Terms, or in connection with a merger, acquisition, financing, reorganization, or sale of assets.

Service providers may access personal information only to perform services for us and are expected to protect it and use it only for authorized purposes.

Payments

We use third-party payment processors and app stores to process paid subscriptions and purchases. We do not store complete payment card numbers. Payment information you provide to Stripe, PayPal, Apple, or Google is handled by those providers under their own privacy policies and payment terms. We receive limited payment and subscription information, such as transaction identifiers, subscription status, plan details, and billing-related updates, so we can manage your account.

International Transfers

We are based in Canada, and we and our service providers may process personal information in Canada, the United States, and other countries where we or our providers operate. Data protection laws in those countries may differ from the laws where you live.

When required, we use appropriate safeguards for international transfers, such as contractual commitments with service providers and other transfer mechanisms permitted by applicable law.

Retention

We retain personal information for as long as needed to provide the Service, maintain your account and library, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business purposes. Retention periods vary based on the type of information and the reason we process it.

If you delete content or close your account, we take steps to delete or de-identify personal information unless we need to retain it for legal, security, backup, accounting, dispute, or operational reasons. Backups and logs may persist for a limited period before being deleted in the ordinary course.

Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to the processing of your personal information; withdraw consent where processing is based on consent; opt out of certain marketing communications; and complain to a privacy or data protection authority.

Depending on where you live, you may have additional rights under local law. These rights may include the right to know what categories of personal information we collect and disclose, the purposes for processing, the categories of recipients, retention information, and the right not to be discriminated against for exercising privacy rights.

You can request account deletion or a data export in the app under the Account section, or exercise privacy rights by contacting us at [email protected]. We may need to verify your identity before responding. Some rights are subject to limits under applicable law, and we may retain information where legally permitted or required.

Marketing Communications

You may opt out of optional marketing emails by using the unsubscribe link in those emails or by contacting us. We may still send non-marketing messages, such as account, security, billing, delivery, and service-related notices.

Security

We use administrative, technical, and organizational measures designed to protect personal information, such as access controls, confidentiality obligations, and security measures appropriate to the nature of the information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Do Not Track and Opt-Out Signals

Some browsers send "Do Not Track" signals. There is no consistent industry standard for responding to those signals, and we do not currently respond to them. You can control cookies through your browser settings, and you may exercise applicable privacy rights by contacting us as described above.

Links to Other Sites

The Service may contain links to third-party websites, apps, stores, or services that we do not operate. We are not responsible for the privacy practices, content, or policies of those third parties.

Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to us, please contact us and we will take appropriate steps.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the effective date. If changes are material or involve new uses of previously collected personal information, we will provide additional notice where required by law or where reasonably appropriate, which may include notice in the Service, on our website, or by email. Where required by law, we will ask for your consent before applying new uses to previously collected personal information.

Why am I not receiving anything on my Kindle?

You should whitelist [email protected] in your Kindle account to be able to receive deliveries. This was already explained in setup steps when you created your first delivery. If you skipped this step for some reason, click here to go to your Amazon Kindle account and under the "Preferences" tab, click on "Personal Document Settings". Then find "Approved Personal Document E-mail List" section and add this email address: [email protected]

How do I change my delivery email?

You cannot change delivery email for an existing delivery. When you create a new delivery (delete the old one if you wish), you will have an option to change your delivery email on the popup that comes before the last step.

Is there a way to send all of my articles at once instead of 20 articles per delivery?

You cannot send all your articles with a single delivery because Amazon puts 25MB limit on deliveries, so we cannot bypass that. 20 article limit is put to ensure you receive your deliveries reliably. Multiple recurring deliveries can help you do this easily. If you want all articles in your Kindle right now, you will need to create multiple onetime deliveries. Signing up for a premium/platinum account can speed this up for you and ensure you receive all of your deliveries right away.

How can I save articles behind a paywall into my library? (i.e. New York Times, Wall Street Journal, etc.)

First make sure you are subscribed either to the Premium or the Platinum plan as this feature is not available on the Basic (free) plan. Then on your desktop computer, make sure you are logged into the paywalled websites. Then you can use Any2K browser extensions (available for Chrome, Firefox, Safari and Edge) to save any paywalled article into your library. Saving paywalled articles will only work on desktop with browser extensions due to technical limitations, and will not work with mobile apps or the email save method. This will permanently save the paywalled article into your library, so you can access it even if it disappears from the internet.

How do I remove Any2K articles from my Kindle library?

If you feel your Kindle is cluttered with articles and you would like to delete your articles from your library completely (not only from your device) you can go to Manage Your Content and Devices page on Kindle and after logging in, go to Content tab. Then on the left side where it says Show: Books, you can change that filter to show Docs. At this point you should be able to see all your Any2K deliveries (Author column will be marked as any2k.com), select as many as you would like to delete and they won't show up in your library anymore. Any2K does not provide Kindle support, if these instructions don't work for your device, then please contact Amazon.

I don't like Any2K articles cluttering my library. How can I organize them better?

You can organize your Any2K articles in your Kindle library by creating collections and moving articles in them. Here is a video showing how to do that under 45 seconds.

I don't want Any2K articles added to my Kindle library. How do I do that?

Simply go to your Kindle settings and open Settings tab. Then go to section "Personal Document Archiving" and turn archiving off.
